RFQ, MOQ and Incoterms explained

What should be defined before the inquiry?

The buyer should first identify the product code, expected quantity and delivery point. Without these inputs, a quoted price is not a reliable basis for comparison or a purchasing decision.

What should the commercial offer include?

An RFQ response should separately state the model, pricing currency, minimum order quantity, packing, offer validity, payment and delivery terms. Verbal information should not be treated as the final commitment.

Final review before ordering

Before payment, verify the product code, quantity, final price, delivery point and documents in the proforma invoice. Any change should be confirmed in writing.

Practical checklist

  • Product code and verified technical information
  • Order quantity and verified minimum order
  • Export packing and loading plan
  • Delivery point and allocation of responsibilities
  • Proforma date and validity period
